simple and routine software maintenance is the key to to faster, smoother, and more stable, error - free operation. Unlike your car vehicle, however, computer software manuals don't typically come with a sound scheduled maintenance plan. Here are a few tips to keep your Sage 100 and AutomatedService software running at their best:


Perform Period End Processing:

Each of your modules have Setup Options that enable users to modify or verify history retention settings to purge old data during Period End Processing. However, many history items are not purged automatically - A/R Invoice History, A/P Payment History, etc - and must be purged manually, by selecting the appropriate purge utility which can be found in each module's unique utility menu.


Purge A/P, A/R and I/M Audit Files:


If you choose to turn on Audit flags in A/P, A/R or I/M Setup Options, remember to view and purge these audit reports periodically. It’s important because every time that a customer, vendor or item is added, changed or deleted, a new record is created within the file which can ultimately create a very large file--See below.


Ensure that Individual Files do not Exceed 2 Gigabyte Limit:



Data files in the Sage 100 environment have a size limit of 2 gigabytes and exceeding this can cause serious errors in the system. While some files in the system do create secondary-segmented-files to cope with growing file sizes, other files will not. AutomatedService files are especially vulnerable for users who maintain their entire history, from their initial setup to the present time. A client of ours, for example, kept over 13 years of (un)purged history which resulted in a transaction history file that exceeded the 2 gb maximum. Though we were able to help them find a solution, we stress the importance of proactive maintenance and the value of purging data that is older than 5 or 7 years.
